Your email signature is seen on every message you send. A clean one builds trust; a cluttered one gets ignored or lands in spam.

Must-haves

Full name, job title, company, one phone number and your website. Optionally one link that matters – a booking page or your top review profile.

Leave out

Quotes, multiple phone numbers, every social icon, large images and long legal disclaimers (unless your industry requires one). Big images are often blocked or attached as files.

Design tips

Use one accent colour from your brand, keep it to 4-6 lines, use a small logo (around 60-80 px wide) hosted on your website, and make phone numbers and emails clickable.

Create and add it

Fill in the Email Signature Generator, click Copy signature and paste it into Gmail (Settings > See all settings > Signature) or Outlook (Settings > Mail > Compose and reply).

Frequently asked questions

Should I include my photo?

Optional – it helps for sales and client-facing roles.

Why does my logo not show?

Some email apps block images by default; the text still shows.

Should I use the same signature on mobile?

Use a shorter version on phones.
